The admin that runs itself
Email sequences, reminders, follow-ups, and notifications that fire automatically — based on what your clients do, not what you remember to send.

The cost of doing it manually
Most service businesses are running a communication backlog. The booking confirmation that needs to go out. The reminder before tomorrow's appointment. The follow-up after a client's first session. The invoice reminder that should have gone out three days ago. The re-engagement email to clients who haven't booked in two months. Each one is a small task. Together they consume hours of attention every week — and the ones that get missed are the ones that cost you.
The solution
Communications that happen without you
Automation is a set of rules: when X happens, send Y. When a booking is confirmed, send a confirmation. When an appointment is 24 hours away, send a reminder. When an invoice is seven days overdue, send a follow-up. When a client hasn't booked in sixty days, send a re-engagement. None of these require you to initiate them — they run on the schedule you set, every time, without variance.
What's included
Everything you get
Event-triggered email flows
Emails that fire automatically when something happens — a booking is made, a payment is received, a form is submitted, a date is reached. The trigger defines when it sends; you define what it says.
Scheduled sequences
Multi-step email sequences that run over days or weeks — a welcome series for new clients, a post-session follow-up sequence, a re-engagement campaign for lapsed clients. Each step fires on schedule without manual intervention.
Appointment reminders
Configurable reminders at 24 hours, 2 hours, or any interval before an appointment. Sent automatically to the client the moment the booking exists. No-show rates fall. You send nothing.
Invoice and payment reminders
Overdue invoices trigger a reminder sequence automatically — day 3, day 7, day 14. Each reminder includes a direct payment link. Payment received cancels the sequence. You chase nothing manually.
Newsletter campaigns
A subscriber list, branded email templates, and a send interface for manual campaigns — announcements, promotions, seasonal content. Subscriber management, unsubscribes, and open tracking included.
Admin control panel
Every automation sequence is visible and configurable from your admin panel — on, off, timing, content. You can pause a sequence, edit a template, or add a new trigger without developer involvement.
How we build it
From brief to live
Map your communication touchpoints
We document every point in the client journey where a communication should happen — from first enquiry through active client to lapsed. Most businesses have fifteen to twenty touchpoints that can be automated. We identify and prioritise them.
Write the templates
Every automated email needs a template. We write them in your business's voice — clear, professional, and appropriately personal. Dynamic fields (client name, appointment time, invoice amount) are pulled from your system data automatically.
Build and wire the flows
Triggers are connected to your booking system, invoicing, and CRM via Resend. Each flow is tested end-to-end — trigger fires, correct template sends, dynamic fields populate correctly, unsubscribe works.
Monitor and refine
Email open rates, click rates, and unsubscribe rates are tracked from day one. Sequences that underperform are identified and refined. New automation triggers are added as your needs evolve.
Common questions
FAQ
Can I edit the email templates myself after they're set up?
Yes. Email templates are editable from your admin panel — subject line, body copy, and any static content. The dynamic fields (client name, dates, amounts) are locked to ensure they always pull correctly, but the surrounding content is yours to update.
What email service do you use for sending?
Resend — a transactional email platform with high deliverability rates and detailed sending analytics. Your emails are sent from your own domain (e.g. hello@yourbusiness.co.za), not a generic Yoros address.
Can automation replace my newsletter tool like Mailchimp?
For most service businesses, yes. The newsletter and subscriber management built into the Yoros automation system covers what a typical small business uses Mailchimp for — without the additional subscription cost.
What happens if a client opts out of emails?
Unsubscribes are handled automatically and immediately — the client is removed from all marketing sequences and newsletter sends. Transactional emails (booking confirmations, invoices) continue regardless of marketing opt-out, as these are required communications.
Is POPIA compliance handled?
Yes. Subscriber consent is captured at opt-in, unsubscribes are honoured immediately, and your subscriber list is stored on your own Supabase instance. The system is built to satisfy POPIA's requirements for electronic direct marketing.
